Privacy notice — the short version

  • We collect your name, contact details, region, profile, licence details and anything you upload, so we can run your membership.
  • Other members see only your photo, name or nickname, general work role and region.
  • Licence numbers, licence documents, CVs, verification submissions, contact details, date of birth and address are never shown publicly.
  • Uploads are held in private storage and opened only through short-lived links given to authorised people. Employers see your licence documents only when you choose to share them, and every view is recorded.
  • Uploading a document never verifies your account and paying never guarantees approval.
  • We keep your information while your account is open, and longer only where the law, a legal claim or a safety investigation requires it.
  • You can ask for a copy of your information, correct it, delete it, restrict or object to its use, and withdraw consent for optional messages at any time.

Who is responsible for your information

Praetorian Security Group operates Praetonix and is the data controller for the personal information described here. We handle personal data in line with UK GDPR and the Irish Data Protection Acts. You can contact us about anything on this page through the contact page.

What we collect

  • Account details — name, email address, phone number, region, sign-in method and password credentials held by our authentication provider.
  • Profile information — nickname, city, headline, biography, work role, experience, qualifications and up to five photographs.
  • Licence information — SIA or PSA licence number, scheme and expiry date, plus any licence documents you upload.
  • Close Protection verification submissions — the application form and any supporting documents, and our review decision and notes.
  • Business details — company name, contact details and approval status for employer and security business accounts.
  • Activity — CVs, job listings, applications, tenders, community posts, private messages, reports you make or that are made about you, SOS alerts you raise, and moderation records.
  • Membership and payment status — plan, status, renewal dates and payment references. We never see or store your full card number or security code.
  • Technical records — sign-in times, device and log data needed to keep the service secure.

Why we use it and our lawful bases

  • To provide your membership — creating your account, showing your profile to the audience you have chosen, running applications, tenders and messaging, and taking payment. Lawful basis: performance of our contract with you.
  • To keep the network safe and honest — moderation, reports, blocking, fraud and impersonation prevention, and Close Protection review. Lawful basis: our legitimate interests in a safe, trustworthy professional network.
  • To meet legal obligations — accounting and tax records, and responding to lawful requests. Lawful basis: legal obligation.
  • Licence and Close Protection details — these are professional licensing details rather than special category data, and are processed to operate the professional network you have joined and at your request when you submit them.
  • Optional messages — any marketing or non-essential updates rely on your consent, which you can withdraw at any time in Settings. Accepting our Terms is not treated as consent to marketing.

Who can see your information

  • Other members and regional communities — your photo, name or nickname, general work role and region only.
  • Approved employers and security businesses — relevant professional and licence information for genuine recruitment, and your CV where you apply to their role.
  • Praetonix administrators — where needed to operate the service, investigate reports and meet legal obligations. Access to sensitive member records is logged.
  • Never shown publicly — licence numbers and documents, CVs, verification submissions, contact details, date of birth and address.

Uploaded documents and photographs are held in private storage and are opened only through short-lived links issued to authorised users. They are not published at any public web address.

Service providers and where data is held

We use service providers to run Praetonix: our cloud hosting, database, file storage and authentication provider; our payment provider, which handles all card details; and our email delivery provider. They act on our instructions under written terms. Where a provider processes data outside the UK or European Economic Area, that transfer relies on the safeguards permitted by data protection law, such as approved standard contractual clauses.

How long we keep it

  • Account, profile and photographs — while your account is open.
  • Licence documents, CVs and Close Protection submissions — while your account is open, and we remove them when you delete them or when your account closes, unless we must keep them for the reasons below.
  • Payment and accounting records — kept for the period required by tax and accounting law.
  • Reports, moderation decisions, suspensions and audit logs — kept while needed to protect other members, to defend or bring legal claims, and to show we handled a matter properly.

You can ask us to delete your account at any time. Deletion removes your profile, photos and uploaded documents from ordinary use, but some records are kept where the law requires it or where we need them for a legal claim or a safety investigation. We will tell you what is being kept and why.

Your rights

You can ask for a copy of your information, correct it, ask us to delete it, ask us to restrict or object to how we use it, and ask for a portable copy. You can withdraw consent for optional messages at any time. If you are unhappy you can complain to the Information Commissioner's Office (UK) or the Data Protection Commission (Ireland), though we would like the chance to put things right first. Notice

This notice describes how Praetonix currently works. Before publication it still needs the operator's registered company details and address, a dedicated privacy contact address, the named hosting and email providers with their regions, any data protection registration number, and confirmed retention periods for accounting and moderation records. It has been prepared for review and has not been approved by a solicitor.
